London Business Phone System Pricing

What is included as standard

  • Cloud phone system with no on-site hardware to maintain
  • Number porting, so you keep your existing 020 number
  • Call routing, queues, voicemail and auto attendant
  • Mobile and desktop apps, so your team can work anywhere
  • 24/7 UK-based support
  • Software updates and platform maintenance

What size system does your business need?

1 to 10 users

A good fit for small offices and professional firms: typically one main number, a straightforward menu, and everyone getting their own direct dial.

11 to 50 users

where call queues, routing by department and proper reporting start to matter. Most of the London clients we work with fall into this bracket.

50 plus and multi-site

larger organisations and businesses running more than one location, with internal calls between offices at no extra cost.

What affects your final price

Handsets vs softphones

Soft phones run through the laptops and phones your team already owns, so there's nothing extra to buy. A physical desk phone costs more to begin with, but it's often the better fit for reception desks, meeting rooms, and anyone taking calls all day. Most businesses end up running a mix of the two.

Call bundles

Most plans cover standard UK calls to landlines and mobiles as part of the price. Rather than pricing off an assumption, we'll look at how your business actually uses the phone and quote against that.

How the cost compares with a traditional phone line

Feature / Line Traditional phone lines Cloud phone system
Line rental Per line, every month None
Hardware On-site PBX to buy and maintain None
Adding a user Engineer visit, new line Minutes, no visit
Multi-site calls Charged as external calls Free between sites
Remote working Call diverts, extra cost Included
After 2027 Not available Unaffected

Our VoIP Services in London

020 number porting

Your existing number moves across without your customers noticing a thing. We manage the switch from your current provider and time it so there's no gap in service. Fancy an additional 020 line, or a number from another part of the UK, that's on the table too. More on this in our 020 area code guide.

Call routing, queues and auto attendant

Define your hours, send calls to the right department automatically, and put people in a queue instead of an engaged tone when things get busy.

Desk phones and softphones

Reception and busy desks tend to want a physical handset; everyone else can just use the app. It's all the same system underneath, so which one someone picks up on doesn't matter.

Multi-site cloud PBX

Run one platform across all your London locations, or tie London in with offices elsewhere. Calls between sites are free, transfers are instant, and you get a single invoice rather than one per building.

24/7 UK-based support

Round-the-clock cover, weekends and bank holidays included, from a named account manager who's already familiar with how your system's set up.

VoIP consultancy and system design

Not sure what you actually need? We'll look at how your team really uses the phone first, then make a recommendation. Free, no strings attached.

Integrations and Compatibility for London Businesses

Microsoft Teams phone system

If your business already runs Microsoft Teams, calls can be made and received directly inside it using your business numbers, so your team isn't switching between two apps.

More detail: can VoIP systems integrate with Microsoft Teams.

CRM integrations

When a call comes in, the customer's record can pop up automatically, and outbound calls get logged without anyone lifting a finger. We work with the CRM platforms most UK SMEs are already running: HubSpot, Salesforce, Microsoft Dynamics, Sage, Xero, Zoho, Zendesk and Monday.com, among others. Full list on our CRM integration page.

Sector-specific software

Beyond general CRMs, we support software built for specific fields too: Clio for legal work, Dentally, Pearl Dental and Aerona for dental clinics, Call Connect GP for surgeries, EdTech Pro for schools, and Street.co.uk for estate agents.

Using your existing handsets

If you've already got SIP-compatible handsets, there's a good chance they'll work on our platform without needing to be replaced. Where they won't, we'll flag it upfront during the consultation, not after you've signed up.

Security and compliance

We hold Cyber Essentials certification and comply with UK GDPR. All calls are encrypted while in transit, and our NHS framework approval means we've already met a set of security standards that goes beyond what most providers are assessed against.

The 2027 Switch-Off: What London Businesses Need to Know

What is changing on the UK phone network

Openreach is phasing out the old copper-based PSTN network across the UK, moving analogue and ISDN lines over to digital services carried over broadband instead. Once your local exchange makes that switch, lines running on the old technology simply stop functioning.

Full detail in our BT switch off guide and PSTN switch off guide.

What happens if you do nothing

Businesses still relying on analogue or ISDN lines when their local exchange switches over will find those phones simply don't work anymore. That knock-on effect reaches further than the phone itself   alarm systems, door entry systems, lift phones and card machines that run over the same lines are affected too.

How to check whether your line is affected

The quickest test: if you're paying separate line rental or running an ISDN circuit, this applies to you. Already on a cloud system? You're covered. Not sure which one describes your setup?

Check what broadband your London premises can get with our broadband availability checker, or just ask us   it's a quick, no-obligation check. Check Whether Your Line Is Affected

Why Professional Installation Matters

Cloud phone systems get marketed as plug and play, and to be fair, they can be. But there's a real gap between a system that's merely working and one that actually suits how your team operates day to day  and that gap comes down to how it's set up.

Feature / Task Self-setup Professional installation
Configuration You work it out Designed around how you actually work
Call quality Depends on your network Network checked and configured first
Number porting You manage it Handled for you, scheduled to minimise disruption
Call routing Default settings Built for your department and requirements
Training Online help articles On-site or remote training for your team
Support Ticket queue Dedicated manager, 24/7 UK support team
If something breaks Your problem We'll look into it

DIY Setup vs Professional Installation

When we get called in to fix something, it's rarely a genuinely broken system  more often it's one that technically works but was never set up right in the first place. Calls end up going to the wrong place, queues were never built, and staff stop trusting it.

How We Install Your London Phone System

1

1. Free consultation and system review

We'll ask about how your business handles calls day to day, take a look at your broadband, and understand your current setup before suggesting anything. Costs nothing, commits you to nothing.

2

2. System design

From what we've learned about your business, we put together the actual setup  routing, departments, hours, which handsets go where. You'll see the full plan and the price before anything gets ordered.

3

3. Installation and number porting

Once the system's installed and configured, we move your existing numbers across. Timing is planned to keep disruption minimal, and your old numbers stay active until we've confirmed the new ones are working properly.

4

4. Training and ongoing support

We train your team, then you have a named account manager and 24/7 UK support from that point on.

Switching from your current provider

Still tied into a contract elsewhere? We'll work around your notice period rather than around ours. In practice, most switches happen with minimal disruption, since your existing system carries on running until the new one's tested and the numbers have actually moved across.

How to Choose a Business Phone System Provider in London

Questions worth asking any provider

  1. Where is your support team based, and what hours are they available by phone?
  2. If we decide to change providers later, can we keep our existing phone numbers?
  3. What happens to our calls if our internet connection goes down?
  4. Are installations handled by your own engineers, or do you use third-party contractors?
  5. Will your system integrate with the software and tools we already use?
  6. Is the quoted price all-inclusive, or are features such as call recording, mobile apps and Teams integration charged separately?

What to check before you commit

Providers selling business phone systems in London tend to fall into a few broad types, and it's worth knowing which one you're talking to before you commit.

IT companies that also sell phones.

For these firms, telephony is one product among many, so it's often not where their deepest expertise sits.

Resellers tied to one platform.

Whatever they sell is what they'll recommend, simply because it's all they offer. That's not necessarily a problem if it happens to be the right fit for you.

National providers with a city page.

Worth checking the phone number on the page and where the support team actually sits, so you know what "local" really means for that provider.

Phone Systems for London Industries

Offices and professional services

When a solicitor, accountant or agency misses a call, it's not just inconvenient, it's lost business. Each fee earner gets their own direct line, calls can be recorded where compliance demands it, and everything logs straight into your CRM.

See how we did this for MLP Law.

Dental practices

Practices that switch typically see fewer missed appointment calls, and reception gets a simpler way to handle the phone without anyone needing to hand out a personal mobile after hours. It plugs straight into the practice management software most UK clinics already run.

GP surgeries and healthcare

As an NHS framework approved supplier, we know what surgeries actually need. The real difference shows at 8am: patients get queue management instead of an engaged tone, callback options instead of holding, and you get reporting that tells you exactly how many calls were answered versus missed.

We integrate with Call Connect GP.

Estate agents

Whichever negotiator picks up, the call gets answered, and it's automatically attached to the right property record without anyone having to log it manually.

Schools and education

Reception, offices and every department run off one platform across the whole site, rather than a patchwork of separate lines.

Hospitality

Guest room phones, reception and front-of-house all sit on a single system, with nothing bulky to install or maintain on-site.

Multi-site and multi-branch businesses

Every location runs on one shared system. Calls between sites cost nothing, staff can transfer to any office as if they were down the hall, and you get a single bill instead of one per building.

PRODUCT

Yeastar Cloud PBX with wireless deployment

The challenge

Athena Hotel is a family-owned boutique hotel in Paddington, one of London's busiest transport and tourism hubs, with more than 25 years of hospitality experience. Its legacy analogue phone system was ageing, expensive to maintain, and out of step with the hotel's boutique standards. Staff had no desktop or mobile apps to manage calls flexibly, and with no Ethernet cabling in most guest rooms, a standard wired IP phone rollout would have meant costly, disruptive building work.

Berkley Estates, Leicesters

What we installed

A fully managed Yeastar Cloud PBX, with 41 Fanvil H601W wireless IP handsets deployed entirely over Wi-Fi no new cabling required. The wireless handsets were professionally wall-mounted and flush-fitted for a clean finish that suited the hotel's interiors. Two existing business numbers were ported across with zero downtime, and four SIP trunks were provisioned so the hotel has room to grow.

The results

  • 41 Fanvil H601W wireless IP handsets installed with no new Ethernet infrastructure
  • 100% wireless deployment across every guest room
  • Zero-downtime number porting for both business lines
  • Scalable SIP connectivity as the business grows
"Switching to The VoIP Shop has made a real difference to how we run the hotel day to day. The old phone system was holding us back, and the new handsets look fantastic in every room. The whole process was smooth from start to finish, and it's reassuring to know the system can grow with us as the business does."

The VOIP shop have been instrumental in assisting us with the deployment of a system that would allow our team to work from home as well as have the ability to switch between Remote and Office working. Our previous system was extremely complicated and did not achieve what we wanted. With a single call with Abrar and the team they were able to grasp our requirements and deploy the system in 48 Hours. We now have remote processes for our team as well as within our office. With our IT Support team abroad we now have a single comms method that allows us to transfer and work as a complete team without having any problems of offices in different locations. We look forward to continuing our work with The VOIP Shop as we scale and believe we have the perfect telecoms partner in helping us achieve what we require.

London Business Phone System FAQs

  • Do you have engineers based in London, or is this a call centre?

Our support team is UK-based and available 24/7, with a named account manager and engineers available for London site visits when required.

  • Will we keep our 020 number when we switch?

Yes. Number porting moves it across with minimal disruption, and it's portable again if you ever leave.

  • Is broadband in London good enough for VoIP, and what happens if it drops?

Full-fibre availability varies by postcode, so we check your specific premises during your free consultation. Where configured, calls can fail over automatically to mobiles or another site if your internet drops, and Gold Level support adds 5G backup.

  • How long does installation take?

Most systems are installed within a few days of your free consultation. Numbers port alongside the setup, and existing phones stay live until the new system is confirmed working, so disruption is kept to a minimum.

  • Which London businesses do you work with?

Businesses like Athena Hotel in Paddington, where we deployed a 41-handset wireless cloud PBX with zero downtime. We're also NHS framework approved, working with GP surgeries and healthcare providers.

  • How do you compare to other London providers?

We're not tied to one platform, we publish our pricing upfront, and we're NHS framework approved.
